SYNC Desk - Hosting an online booking

To ensure deposits are allocated correctly and reconciliations balance, here is a step-by-step guide to processing an online booking transaction.

Select the online booking you wish to host. You can see here the deposit has been allocated to this person for this booking. Then select current invoice.

Select the packages/products that have been booked online. This information will be in the comments box on the reservation.

In the box on the right, you can see in green the online deposit amount with the name of the person that booked.

You may then be required to select how many of each package/product and click ok.

In the box on the right-hand side, you can now see the booked package/product, which is to be hosted and below in green, the online deposit to now be debited. Giving you a total transaction value of£0.00.

Click ok to move on.

Select guest list from the list of buttons on the right-hand side.

Add the number of guests to play. Click on the number and a pop-up box of numbers will appear. Select the number you require. Click add.

The number of guests playing will then show in boxes underneath. This is where you can add their names and bumpers up or down. If your guest put their own names up on the board at the lanes, you can leave as guest.

Click ok to move on.

You will be brought back to the booking and will now select host reservation.

When hosting the reservation, you can see the package/product which is to be hosted and below in green, the online deposit to now be debited. Giving you a total transaction value of £0.00 again.

Select pay now.

You can see here the value of the transaction is zero so it can be rung out as cash by pressing ok.

You can also send a copy of the receipt to the customer via email at this point. (This will be the current campaign email which is running in cloud.)

This will cash off as usual.

Click ok.

You will then be brought to the lane assignment screen.

This will automatically pick the name in which the booking is made. It will also have the number of players and games in the box.

Click next.

There is nothing required by you at this stage, it is just the system issuing the game to the lane.

Click issue.

There is nothing required by you at this stage, it is just the system assigning the players to the game.

Unless there are changes to be made which can be done here.

Click next.

You can see now that the deposit balance is zero as the online payment has been debited.

Select save.

That is the entire transaction including lane and player allocation.

You can check to ensure the game is on the lane by checking your lanes status screen.
